Grassroots — Designing a Platform to Unleash the Power of Community Sports

How we designed a comprehensive, user-centric platform to streamline club management, reduce administrative burdens, and empower athletes, parents, and volunteers to thrive.

The Challenge

The Passion vs. The Paperwork

Grassroots sports are the foundation of every athlete’s journey. They foster skills, build character, and promote community engagement. However, these essential programs are often run by passionate volunteers who face significant challenges, from limited resources to overwhelming logistical needs. The passion for the sport gets buried under a mountain of administrative work.

Orion's vision was to bridge this gap with a powerful digital solution.

The Problem Statement:

Grassroots sports organizations needed a unified, user-friendly system to manage clubs, teams, players, and competitions, allowing them to reduce time-consuming administrative tasks and focus on what truly matters—athlete development and community engagement.

Chapter 1:

Navigating the Fog — Defining the Digital Field

The project began with a broad scope: "build a club management platform." My role as a designer started with driving clarity. Through a series of deep-dive sessions with stakeholders, it became clear we first needed to map out the complex ecosystem of users and their most critical pain points.

This proactive discovery process was crucial. I helped guide the conversation, using known use-cases to shape the requirements. We identified a diverse set of users—Club Administrators, Players, Parents/Guardians, Coaches, and Super Admins—and prioritized the key functional pillars the platform had to deliver.

Chapter 2:

The Solution — A Holistic Ecosystem for Sports Management

Our solution was an ambitious, multi-faceted platform designed to be the single source of truth for any sports organization. The user's journey begins at a central hub, providing access to the platform's core modules for club, competition, and resource management.

Deep Dive: Designing for Complexity in Venue Management

To showcase our design process, let's look at a key feature: Venue Management. This required a solution that catered to multiple user needs for data visualization and entry, including list, map, and card views, as well as detailed forms for data entry.

Our approach to Venue Management provided users with multiple ways to view and interact with data, ensuring the interface was both powerful and flexible.

Empowering the Power User: Advanced Configurability

A key requirement was to create a platform that could be adapted by high-level administrators without needing developer intervention. We designed a suite of powerful tools, including a custom Form Builder, to empower organizations to tailor the platform to their specific needs.

We empowered administrators with a custom Form Builder (left) that allowed them to create and deploy complex, conditional forms—like the Venue Details form (right)—without writing a single line of code. We didn't just design the application; we designed the tools for others to build within it, ensuring long-term flexibility.

Chapter 3:

Built on a Solid Foundation

The platform’s user interface was built entirely upon the "Roots Design System," which we developed in parallel. This ensured a consistent, high-quality, and accessible experience across every one of the platform's dozens of complex screens. A key feature inherited from the system was full support for both Light and Dark themes.

Thanks to the underlying "Roots Design System," every screen, including data-heavy tables, fully supports both Light and Dark modes, a critical feature for user preference and accessibility.

The Impact in Numbers

The Grassroots platform is more than a management tool; it’s a catalyst for growth, engagement, and inclusivity in grassroots sports. Its success, now powering major initiatives with clients like the Royal Belgian Football Association (RBFA), can be seen in the measurable improvements it brings to sports communities.

Admin Efficiency

Reduced administrative workload by an estimated 38+%

Freed up volunteers' time to focus on coaching and athlete development, reducing burnout.

Player Onboarding

Decreased average player registration and approval time from weeks to day

Improved the experience for parents and allowed players to get on the field faster, boosting satisfaction.

Club Compliance

My Reflections

This project taught me that a designer's most important role in a complex ecosystem is to be a relentless advocate for simplicity and clarity. By deeply understanding the needs of vastly different users—a busy parent, a volunteer coach, a high-level administrator—I was able to help design a single, cohesive platform that made life easier for all of them. It was a lesson in turning a complex business vision into a focused, human-centered product.
