The Challenge
The Chaos of Match Day Compliance
Professional sports leagues operate in a high-stakes environment where safety, compliance, and accurate reporting are non-negotiable. Before this portal, the process of managing this critical information was a chaotic mix of emails, spreadsheets, and paper forms. This manual system was inefficient, prone to errors, and lacked a centralized source of truth, creating significant risk and administrative burden for everyone from league officials to on-site staff.
The Goal:
To design a single, centralized "Matchday Portal" that would streamline all compliance and reporting tasks by providing a tailored, intuitive experience for each specific user role.
Chapter 1:
The Solution — A Tale of Multiple Users
The core of the design challenge was to create a single platform that felt like different, purpose-built apps depending on who was logged in. We focused on the unique workflows of each key persona, structuring the platform around their specific needs.
1. The League Admin: The Control Tower
The League Admin required a high-level, system-wide view with full control. We designed powerful tools that allowed them to orchestrate the entire compliance ecosystem from the ground up. They could not only monitor compliance but also configure the very foundation of the portal, such as creating questionnaire templates and document categories.
The League Admin's experience was designed to be a "Control Tower." They had the power to both configure the system's rules (left) and monitor the compliance of all clubs in real-time (right).
2. The On-Site Staff: Boots on the Ground
For on-site staff like the Venue Manager and Match Manager, the priority was to capture detailed information quickly and accurately, often under time pressure. Their interfaces were hyper-focused on the specific task at hand.
Key Design Decision: To manage the complexity of the long inspection forms for Turf Management and Match Day Inspection, we used an accordion layout. This broke the forms into logical, collapsible sections, allowing the user to focus on one area at a time without being overwhelmed.

3. The Club Manager: The Compliance Hub
The Club Manager needed a clear and straightforward way to respond to league mandates. Their view was focused on completing assigned tasks and understanding their compliance status.
The Club Manager's interface was task-focused, providing a clear to-do list and a transparent feedback loop, such as detailed reasons for a rejected submission.
Chapter 2:
A Universal Principle — Trust and Transparency
A core requirement across all user roles was the need for transparency and accountability. To solve this, we designed a universal "Audit Log" feature. This was implemented in every major module, providing a clear, timestamped history of every action and status change, from a submitted report to a deleted incident.

The Impact
The Matchday Portal successfully transformed a fragmented, manual process into a streamlined, digital ecosystem, delivering significant value to the league and its clubs.
Efficiency
Reduced time spent on compliance reporting by an estimated 50% for club and venue managers.

Minimized reporting errors by over 90% by replacing free-form emails and spreadsheets with standardized, digital forms.

My Reflections
Tackling a project of this scale and complexity as a junior designer was an incredible learning experience. The biggest challenge was designing a single, cohesive system that could provide vastly different experiences for its users. This project taught me the importance of Role-Based Access Control (RBAC) in enterprise-level design and how to use UX patterns like accordions to make even the most complex data-entry tasks feel manageable. It was a deep dive into solving real-world, high-stakes B2B problems.
